Pre-Rental Documentation

Proper documentation before every rental is your best protection against damage disputes. The time you invest in documenting your vehicle's condition before handing it over will save you significant stress and money if damage occurs.

⚠️ Critical: Without pre-rental photos, it is nearly impossible to prove that damage occurred during a rental. ALWAYS document your vehicle before every single handover.

Photos to Take Before Every Rental

Take a minimum of 15-20 photos covering:

  • All four sides: Front, rear, driver side, passenger side (full vehicle shots)
  • All four corners: Front-left, front-right, rear-left, rear-right (45-degree angle)
  • Roof: Photograph from above if possible
  • Wheels and tires: Close-up of each wheel including tire condition
  • Windshield: Close-up to show any existing chips or cracks
  • Dashboard and odometer: Clear photo of the mileage
  • Fuel gauge: Clear photo of the fuel level
  • Interior: Seats, carpet, dashboard, trunk
  • Existing damage: Close-up of every scratch, dent, or mark with a reference point for scale

Existing Damage Log

In addition to photos, note all existing damage on the rental contract:

  • Location of each mark (e.g., "small scratch on rear bumper, passenger side")
  • Size and severity (e.g., "2-inch paint chip" or "dime-sized dent")
  • Have the renter acknowledge all existing damage before pickup
  • Both parties should initial the damage log section of the contract

Post-Rental Inspection Process

When the renter returns the vehicle:

  1. Perform the walk-around with the renter present
  2. Take the same set of photos you took before the rental
  3. Compare each area to your pre-rental photos
  4. Check the interior carefully for stains, tears, burns, or odors
  5. Verify fuel level matches the pickup level
  6. Check mileage for any excess beyond your limits
  7. Test all vehicle functions (AC, lights, electronics)
  8. Document findings immediately

Identifying New Damage

Compare the vehicle carefully against your pre-rental documentation:

  • Walk slowly: Circle the vehicle at least twice, looking at every panel
  • Check in good lighting: Damage is hard to see in dim lighting or rain
  • Run your hand: Feel for dents that may not be visible at first glance
  • Check underneath: Look under the bumpers and along the rocker panels
  • Interior smell test: Smoke or strong odors may indicate prohibited use
  • Listen during test drive: New rattles or sounds may indicate hidden damage

Documenting Damage

If you find new damage, document it thoroughly and immediately:

Photos

  • Take wide shots showing the damage location on the vehicle
  • Take close-up shots showing the damage detail
  • Place a coin or pen next to the damage for scale reference
  • Photograph from multiple angles
  • Ensure photos are well-lit and in focus
  • Take at least 5-10 photos of each damage area

Video

  • Record a walk-around video narrating the damage you found
  • Show the damage in context (which part of the vehicle)
  • Include the renter in the video if they are present and agree

Written Description

  • Note the exact location on the vehicle
  • Describe the type of damage (scratch, dent, crack, stain, etc.)
  • Estimate the size
  • Note if it affects vehicle function or is cosmetic only
  • Record the date and time of discovery

Reporting Through the Sicarro Platform

Follow these steps to file a damage report:

  1. Go to Bookings > select the completed booking
  2. Click "Report Damage"
  3. Select the damage category:
    • Exterior body damage (scratches, dents, broken parts)
    • Interior damage (stains, tears, burns, broken controls)
    • Mechanical damage (if caused by renter misuse)
    • Missing items (floor mats, accessories, documents)
  4. Upload all photos and videos
  5. Write a detailed description of each damage item
  6. Upload your pre-rental photos for comparison
  7. Enter the estimated repair cost (get a quote from a mechanic if possible)
  8. Submit the claim

💡 Tip: File your damage report within 24 hours of the vehicle return. Claims filed later than 48 hours may be more difficult to process as the connection to the rental becomes harder to establish.

Damage Claim Process

After you file a report, here is what happens:

  1. Review (1-2 business days): Sicarro's team reviews your claim, photos, and documentation
  2. Renter notification: The renter is notified and given a chance to respond
  3. Assessment: Sicarro compares pre-rental and post-rental documentation
  4. Resolution: A decision is made based on evidence from both parties
  5. Payout adjustment: If the claim is approved, the repair cost is deducted from the renter's deposit or charged to their payment method

Deposit Claim for Minor Damage

For minor damage within the deposit amount:

  • The repair cost is deducted from the renter's security deposit
  • You receive the deducted amount added to your payout
  • The remaining deposit is refunded to the renter
  • Typical minor damage: small scratches, stains, minor dents
  • You must provide a repair estimate or invoice to support the claim amount

Insurance Claim for Major Damage

For damage exceeding the deposit or involving significant repairs:

  • File a claim with your vehicle insurance provider
  • Provide the police report (if applicable - required for accidents)
  • Submit all documentation from the Sicarro damage report
  • Sicarro provides support documentation and communication records
  • The renter may be held responsible for the insurance deductible
  • Major damage includes: large dents, broken glass, mechanical damage, total loss

Timeline for Claims

Step Timeline
Report damage Within 24 hours of return
Sicarro initial review 1-2 business days
Renter response period 48 hours
Resolution decision 3-5 business days after filing
Payout of claim amount 1-3 business days after approval

Communication with the Renter About Damage

  • Remain calm and professional at all times
  • Point out the damage clearly and factually
  • Show the pre-rental photos compared to the current condition
  • Do not accuse - present the evidence and let the platform mediate
  • Use the Sicarro messaging system for all damage-related communication (creates a record)
  • If the renter acknowledges the damage, note it in writing

Repair Options and Estimates

  • Get at least 2 repair estimates from different mechanics or body shops
  • Submit the estimates with your damage claim
  • Choose quality repairs that restore the vehicle to pre-rental condition
  • Keep the original repair invoice for your records and for the claim
  • Consider PDR (Paintless Dent Repair) for small dents - it is cheaper and faster

Preventing Damage

  • Screen renters: Review profiles, ratings, and rental history before approving
  • Set requirements: Minimum age, driving experience, and verification requirements
  • Clear contract: Ensure the renter understands prohibited uses and responsibilities
  • Vehicle orientation: Show the renter how to operate the vehicle properly
  • Communication: Be available for questions during the rental to prevent mishaps
  • Security deposit: Set an appropriate deposit amount to incentivize careful use

✅ Key Takeaway: Documentation is everything. Take photos before and after every rental, keep your contracts signed, and file claims promptly. Suppliers who document consistently resolve 95% of damage claims in their favor.
